Home care and community health providers

In home care, mileage isn't an occasional expense. It's part of every shift. Care workers drive from client to client, often covering hundreds of miles a month in their own cars. Getting reimbursement right matters for fairness, retention and cost control. The Business Central Expense Agent now handles mileage much more precisely.

The industry challenge

A typical home care provider employs dozens or hundreds of care workers, each claiming mileage weekly or monthly. Several things make that complicated:

  • Rates change. Organizations update mileage rates when fuel costs move or policies change, often in the middle of a claim period.
  • Vehicles differ. Some staff drive petrol cars, some electric vehicles and some use motorcycles or scooters, and the rates may differ.
  • Volumes are high. Manual checking of every journey isn't realistic.

When the system supports only one rate, finance teams end up recalculating claims by hand, especially around a rate change. Errors creep in, staff are paid incorrectly, and corrections take time on both sides.

What Microsoft is delivering

According to Microsoft, the Expense Agent now supports mileage rates based on both effective date ranges and vehicle types. On the Mileage Rate Setup page, administrators can:

  • Define mileage rates that are valid only within specific date ranges, so rate changes over time are handled cleanly
  • Set separate rates for different vehicle types, such as cars, motorcycles, electric vehicles or categories the organization defines
  • Have the correct rate applied automatically based on the travel date and the vehicle type selected

Microsoft says this supports changing regulations, company policies and regional standards without manually recalculating claims that have already been submitted.

The Expense Agent and these enhancements are in preview.

Where the value shows up

Business areaImpact for a home care provider
Staff fairnessCarers are paid the right rate for each journey
Finance workloadNo manual recalculation around rate changes
Policy flexibilityDifferent rates for EVs, motorcycles and cars
Cost controlConsistent application of the organization's mileage policy
RetentionAccurate, timely reimbursement builds trust with frontline staff

In a sector with high staff turnover, small frustrations matter. Being paid incorrectly for mileage is one of the most common complaints from care workers, and one of the easiest to avoid.

A worked scenario

Consider a home care company with 180 care workers across two counties (an illustrative example). In the middle of a month, it raises its mileage rate to reflect fuel prices and introduces a separate rate for staff using electric vehicles.

Before, the payroll and finance team had to split every affected claim at the change date and apply the right rate by hand. With the Expense Agent, the administrator adds new rate records with effective dates and an EV vehicle type. When carers submit mileage, the agent applies the old or new rate automatically based on the date of each journey and the vehicle selected. Finance reviews the results instead of calculating them.

Adoption considerations

  • Pilot first. The Expense Agent is in preview, so test with a small group before rolling out widely.
  • Write a clear policy. Define vehicle types and rates in plain language, and explain them to staff.
  • Plan rate changes in advance. Enter new rates with effective dates before they start.
  • Check local rules. Make sure rates align with tax-free allowances or other local requirements.
  • Keep human review. Finance should still sample-check claims, especially when rates change.

The bottom line

For home care providers, mileage is a large and constant cost, and an important part of how frontline staff feel about their employer. Date-based and vehicle-based mileage rates in the Business Central Expense Agent make reimbursement accurate without extra effort from finance. It's a practical improvement for any organization where people drive for work every day.

If mileage claims take up a lot of your finance team's time, it's worth exploring the Expense Agent preview with an experienced Business Central adviser.
