Fashion and apparel brands live with two facts: high order volumes and high return rates. Customers order several sizes, keep one and send the rest back. Every order and every return must be traced, restocked and refunded correctly. Business Central 29.0 gives Shopify merchants more control over how orders and refunds become Business Central documents.
The industry challenge
A growing fashion brand selling through Shopify and running Business Central typically faces three issues:
- Two numbering systems. Customer service talks about Shopify order #10452, while finance and the warehouse see a different Business Central number. The Shopify number is stored on the sales document, but people still have to translate between the two.
- Returns that skip the warehouse. The Shopify connector used to turn refunds into sales credit memos only. That handles the money, but it doesn't support warehouse returns processing, such as receiving, inspecting and restocking the item.
- Wrong contacts. For business customers or gift orders, the connector might pick the wrong contact for billing or shipping, and nobody notices until after the document is created.
What Microsoft delivered in Business Central 29.0
According to Microsoft, the Shopify connector now gives more control before it creates sales documents:
- Use Shopify Order No. A setting on the Shopify Shop Card uses the Shopify order number as the Business Central sales document number. You need a number series that allows manual numbers, and a number conflict can prevent the Shopify number from being used.
- Process Returns as. You can choose whether Shopify refunds create sales credit memos or sales return orders. Return orders support warehouse return processing.
- Review contacts first. You can review and edit sell-to, ship-to and bill-to contact numbers on the Shopify order before creating the sales document. These fields are hidden by default and can be added through personalization.
Microsoft notes that processing Shopify returns themselves remains unsupported. The change is about how refunds are turned into Business Central documents.
Where the value shows up
| Business area | Impact for a fashion brand |
|---|---|
| Customer service | One order number across Shopify and Business Central |
| Warehouse | Refunds can become return orders that support receiving and restocking |
| Inventory accuracy | Returned stock is processed through the warehouse, not just credited |
| Finance | Cleaner reconciliation between Shopify payouts and Business Central |
| Data quality | Contacts checked before documents are created |
For apparel, the return-order option is the headline. Returns are a core part of the business model, and handling them properly in the warehouse is essential for accurate stock and fast resale.
A worked scenario
Consider an online womenswear brand shipping 800 orders a week with a return rate of around a third (an illustrative example). Before 29.0, refunds created credit memos. The warehouse tracked returned parcels on a spreadsheet and adjusted stock separately, which caused frequent mismatches.
With Business Central 29.0, the operations manager sets Process Returns as to sales return orders and turns on Use Shopify Order No. When a customer returns a dress, the refund creates a return order with the same reference the customer used. The warehouse receives it against that order, checks condition and restocks it. Finance posts the credit, and customer service can find everything by the one order number.
Adoption considerations
- Set up the number series. Allow manual numbers and check for clashes with existing documents before switching on Use Shopify Order No.
- Design the return flow. Decide how return orders are received, inspected and put away.
- Train customer service. Explain the single order number and where to look for return status.
- Personalize for contacts. Add contact fields to the Shopify order page for users who need to check them.
- Test with real return patterns. Partial returns and multi-item orders are where problems usually appear.
The bottom line
In fashion e-commerce, returns aren't an exception. They're part of the operating model. Business Central 29.0 gives Shopify merchants a single order number across systems and lets refunds flow into proper warehouse returns. For brands that live and die by stock accuracy and customer service, those are practical, valuable changes.
If your returns process relies on spreadsheets or manual stock adjustments, it's worth reviewing your Shopify and Business Central set-up with an experienced adviser.
