Discrete manufacturing

Manufacturers receive a steady flow of vendor invoices for raw materials, components, subcontracted operations, maintenance, freight and engineering services. Matching each invoice to the right purchase order line is one of the most repetitive jobs in finance. Business Central 29.0 makes the Payables Agent noticeably better at it.

The industry challenge

Three-way matching between purchase order, receipt and invoice is straightforward for physical goods. A pallet of fasteners arrives, the warehouse posts a receipt and the invoice quantity either matches or it doesn't.

Services are harder, and manufacturers buy a lot of them:

  • Preventive maintenance on CNC machines
  • Calibration and certification of measuring equipment
  • Contract engineering and design hours
  • Tooling refurbishment and heat treatment

These purchase order lines usually have a quantity of 1. There's no warehouse receipt and no clear signal that the service was delivered. When a vendor invoice arrives without a PO line reference, an AP clerk has to work out which line it belongs to. Quantity alone tells them nothing, so they compare amounts and descriptions by hand.

The second challenge is control. Some PO lines need a receipt before invoicing and others don't. Until now that rule was set too broadly to reflect how a manufacturer actually buys.

What Microsoft delivered in Business Central 29.0

The Payables Agent already reads vendor invoices from a monitored mailbox, identifies the vendor and drafts purchase documents for human review. Version 29.0 improves the matching step in three ways:

  1. Line Amount is now part of matching. The agent works from an enriched list of purchase order lines that includes Line Amount. It can match on value as well as description and quantity, which matters most for service lines where quantity is almost always 1.
  2. Receipt on Invoice can be set per PO line. This setting is inherited from vendor to purchase order to purchase order line, and each level can override the level above it.
  3. Finalizing drafts follows your posting controls. When a draft is finalized, it respects the same posting controls that already govern your purchase process.

Where the value shows up

Business areaImpact for a manufacturer
AP productivityFewer service invoices fall out for manual matching
Matching accuracyValue-based matching separates similar lines that have the same quantity
ControlReceipt rules fit how each vendor, order and line is actually bought
AuditAgent output follows the same posting rules as human users
Supplier relationshipsFaster, more predictable payment of service vendors

The per-line Receipt on Invoice setting is especially useful in manufacturing. Most manufacturers have mixed purchase orders, where one order might cover a tooling component that must be received and a set-up service that can't be. Being able to set the rule on each line lets the agent follow the policy without compromise.

A worked scenario

Consider a precision engineering company (an illustrative example). One purchase order to a maintenance contractor has three lines: a quarterly service visit, an emergency call-out and a replacement spindle bearing. Each has a quantity of 1.

The contractor sends one invoice for the service visit and the call-out. Matching on quantity and description alone, the agent couldn't reliably tell the two service lines apart. With Line Amount in the matching data, the invoice amounts line up with the right PO lines.

The bearing line requires a receipt, while the two service lines are set to not require one. The agent drafts the invoice and the AP supervisor reviews and finalizes it, with posting controls applied just as they would be for a manual entry.

Adoption considerations

  • Clean up PO descriptions and amounts. The agent matches on the data you give it. Clear line descriptions and accurate amounts on purchase orders improve results.
  • Set Receipt on Invoice deliberately. Start at vendor level, then override on orders and lines only where the buying pattern really differs.
  • Keep humans in the loop. The agent drafts, and people review and finalize. Agree who supervises which vendors.
  • Use a dedicated mailbox. Microsoft recommends that the monitored mailbox isn't shared with other agents.
  • Track exceptions. Measure how many invoices need manual matching before and after the update to see the real effect.

The bottom line

For manufacturers, the hard part of invoice matching was never the pallet of parts. It was the long tail of services with a quantity of 1. Business Central 29.0 gives the Payables Agent the data and controls to handle that tail. The result is less manual work in AP and tighter control over what gets paid.

If accounts payable is a bottleneck in your operation, it's worth reviewing your purchase order data and receipt policies with an experienced Business Central adviser.
