- Freight forwarders and customs brokers
Digitalization has transformed logistics, but paper has not disappeared. Freight forwarders and customs brokers still print documents for drivers, warehouses, border crossings and customers, and many of those documents are needed in multiple copies: one for the driver, one for the consignee, one to be signed and returned.
The industry challenge
Electronic Reporting (ER) is increasingly used to produce business documents in Dynamics 365. Print management lets organizations define how documents should be printed, including the number of copies. The gap has been that ER destinations did not always respect copy counts consistently, particularly when users printed documents on demand from a dialog rather than through a configured print run.
In a busy forwarding office or bonded warehouse, that leads to familiar problems. A driver leaves with one copy instead of three. Staff print documents several times by hand, or keep notes beside the printer reminding them how many copies each customer needs. Missing paperwork at a border or delivery point causes delays, demurrage and frustrated customers.
The issue sounds trivial, but in operations measured in minutes and missed slots, it is not.
What Microsoft delivered in Finance 10.0.49
Finance 10.0.49 extends print-management copy counts to ER destinations, including ad-hoc printing from dialogs. When a document is printed through ER, the number of copies defined in print management is applied. The improvement is enabled by default.
Documents produced through ER now behave consistently with the copy rules the business has set up.
Where the value shows up
| Business area | Impact |
|---|---|
| Operations | Drivers and warehouse staff receive the right number of copies without manual reprinting |
| Customer service | Fewer delays caused by missing paperwork at delivery or border points |
| Consistency | Copy rules apply whether documents are printed in batches or on demand |
| Efficiency | Less time spent reprinting and checking printouts |
| ER adoption | One less reason to keep legacy document formats alongside ER |
A worked scenario
(An illustrative example.) A freight forwarder with a bonded warehouse prints transport documents and delivery notes for road shipments. Some customers require three signed copies on delivery; others need only one.
After moving its delivery note to ER, the forwarder found that ad-hoc prints from the shipment dialog produced a single copy regardless of print management settings, so staff printed extra copies by hand. With the update, the copy count set in print management is applied to ER output, including ad-hoc prints. The dispatch clerk prints once, the right number of copies comes out, and drivers leave with complete paperwork.
Adoption considerations
- Review print management settings. Confirm copy counts are set correctly for each document and customer before relying on them.
- Retire manual habits. Make sure staff stop reprinting by hand, or you will get too many copies.
- Check printer routing. Copy counts work best when documents go to the right printers. Review destination set-up.
- Consider digital alternatives. Where partners accept electronic documents, use this as a prompt to reduce printing further.
- Test ad-hoc scenarios. Verify behaviour from the dialogs your teams actually use.
The bottom line
In logistics, missing paperwork costs time and money. Applying print-management copy counts to Electronic Reporting, including ad-hoc printing, removes a small but persistent source of operational friction. It also helps organizations move more documents onto ER with confidence. An experienced Dynamics 365 adviser can help you review document set-up and print management as part of your ER roadmap.
